Executive Assistant & Project Coordinator
Sydney | Full-time | Office-based, five days per week
 
Landmark Group is looking for an experienced Executive Assistant to work directly with our Head of Sales & Acquisitions across major business priorities.
 
We are looking for a self-managing operator who can bring structure to a fast-moving executive and coordinate work across multiple departments.
 
You will work closely with a director that has been involved in billions of dollars in residential transactions and large-scale property acquisitions.

What you'll own

  • Preparing agendas, briefing material, meeting minutes and decision summaries
  • Maintaining a central action and approval register
  • Coordinating work across sales, marketing, development, display suites and aftercare
  • Tracking project launches, display-suite openings and other key milestones
  • Managing weekly priorities, schedule and outstanding approvals
  • Drafting internal communications and follow-up emails
  • Escalating delays, risks and unresolved issues
What we're looking for
 
This role suits someone who is highly organised, clear communication skills and commercially aware.
 
You will have:
  • 10+ years' experience as an Executive Assistant, Project Coordinator or Operations Coordinator
  • Experience supporting a senior executive in a fast-moving business
  • Excellent written communication and meeting-minute skills
  • Strong project coordination, follow-through and personal accountability
  • The ability to work with minimal direction and manage competing priorities
  • Confidence dealing with senior stakeholders and external consultants
  • Attention to detail and a high level of discretion
Nice to have
  • Property development, construction or real estate experience
  • Experience coordinating project launches or operational milestones
  • Exposure to sales, acquisitions or development processes
  • Experience working in a privately owned business
