Alphatreat/WES is looking for an experienced and motivated Office Administrator to join our team in Brendale.
This is a hands-on all-rounder role within a small team suited to someone who enjoys variety, takes ownership and likes being involved in all aspects of a small but busy business.
 
As the key administrator supporting our office, warehouse and showroom, you will play an important role in keeping the day-to-day operation running smoothly. From assisting customers and processing orders through to inventory, purchasing, accounts support and coordinating the premises, you will have the opportunity to make a real impact across the business.
 
About the Role
Working closely with the Sales Manager and broader team, your responsibilities will include:
Customer Service & Sales Support

  • Respond to customer enquiries by phone, email and in person.
  • Assist retail customers with product selection and purchases.
  • Process customer orders and assist with quotes.
  • Support invoicing and retail sales.
  • Resolve customer enquiries, complaints and product issues professionally.
  • Process warranty claims and liaise with customers and suppliers.
  • Manage customer product and system registrations.
  • Monitor backorders and keep customers informed of order status.
  • Review margin reports and identify pricing or profitability concerns.
  • Provide customer support on behalf of the Sales Manager when required.
  • Maintain current pricing, catalogues, price lists and product information.
Inventory & Warehouse
  • Pick, pack and dispatch customer orders accurately and efficiently.
  • Conduct stocktakes and reconcile physical stock against system records.
  • Maintain accurate inventory records and stock levels.
  • Maintain and update Bills of Materials (BOMs).
  • Receive incoming stock and check deliveries against purchase orders.
  • Identify and report discrepancies or damaged goods.
  • Coordinate with production to help keep customer orders on schedule.
  • Organise freight and transport for incoming and outgoing goods.
  • Maintain accurate website product listings, pricing and availability.
Purchasing & Supplier Management
  • Liaise with local and overseas suppliers to source products and parts.
  • Raise and manage purchase orders.
  • Follow up supplier orders and deliveries.
  • Set up new products, pricing and supplier information within the business system.
Accounts & General Administration
  • Process supplier invoices and forward documentation to the Accounts team.
  • Assist with general accounts administration as required.
  • Maintain accurate filing and office administration systems.
Office, Warehouse & Facilities
  • Coordinate general maintenance and repairs.
  • Liaise with tradespeople, cleaners, gardeners and waste/recycling providers.
  • Monitor office and warehouse supplies and arrange replenishment.
  • Help maintain a safe, clean, organised and professional workplace.
You will ideally have:
  • Previous experience in office administration, customer service, sales administration or a similar all-rounder role.
  • Excellent communication and customer service skills.
  • Strong attention to detail and accuracy.
  • Experience with inventory, purchasing or warehouse administration.
  • Good computer skills and confidence learning new business systems.
  • Strong organisational and time-management skills.
  • The ability to work independently while also being a supportive team member.
  • A practical, "can-do" attitude and willingness to get involved where needed.
  • The ability to manage multiple tasks in a busy environment.
Experience in a manufacturing, plumbing, wastewater, engineering, trade or distribution environment would be highly regarded.
