Full-Time, 12-Month Fixed-Term Contract - Senior Receptionist, Health Hub 

Behind every great healthcare experience is a team that keeps everything running smoothly. We're looking for an experienced Senior Receptionist to lead our reception function, support our Customer Service Officers and help create a welcoming, efficient environment for patients across our Dental, Optical and Allied Health services.

About the Role

Reporting to the Dental Manager, you will oversee the smooth running of front-of-house, call centre and administrative operations while providing day-to-day guidance and support to our Customer Service Officer team.

You will be the face of our Health Hub, ensuring every patient receives a professional, welcoming and seamless experience from their first interaction through to appointment completion.

Key Responsibilities

  • Lead and coordinate daily reception operations across Dental, Optical and Allied Health services.
  • Provide coaching, guidance and operational support to Customer Service Officers.
  • Manage patient appointments, scheduling, cancellations and clinician diaries.
  • Support patient flow and assist with resolving day-to-day operational challenges.
  • Process billing, invoicing, receipting and health fund claims.
  • Manage Medicare, HICAPS, DVA, Workers Compensation and private health insurance claims.
  • Maintain accurate patient records and provider documentation.
  • Complete daily banking, reconciliations and end-of-day reporting.
  • Assist with training and onboarding of new team members.
  • Handle customer enquiries and resolve concerns professionally.
  • Contribute to quality improvement initiatives, audits and compliance activities.
  • Support clinicians and the broader Health Services team with administrative requirements.

About You

To be successful in this role, you will bring:

  • Minimum 3 years' experience as a Dental Receptionist or in a senior healthcare, administration or retail leadership role.
  • Exceptional customer service and communication skills.
  • Strong organisation, time management and multitasking abilities.
  • Experience using practice management systems, particularly Exact.
  • Experience processing health fund claims and working with HICAPS terminals.
  • Advanced Microsoft Office skills.
  • The ability to work independently while fostering a positive and collaborative team environment.

Desirable Experience

While not essential, the following will be highly regarded:

  • Certificate III or IV in Dental Assisting.
  • Oral Health qualifications.
  • Experience with Exact, Optomate or Nookal.
  • Knowledge of HAMBS and private health insurance processes.
  • Previous experience managing front-of-house operations within a healthcare clinic.
