Executive Assistant to the CEO & MayorRegional Council | Temporary Assignment (3 Months) | Full-Time
Hays is currently seeking an experienced Executive Assistant to support the Chief Executive Officer and Mayor of a regional council in a busy and varied temporary assignment. This is an excellent opportunity for a highly organised professional who enjoys working closely with senior leaders, managing competing priorities, and contributing to the effective operation of a community-focused organisation.
About the RoleReporting directly to the CEO and Mayor, you will provide high-level executive and administrative support while ensuring the smooth day-to-day operation of both offices. You will play a key role in coordinating governance activities, managing correspondence, and supporting Council meetings, stakeholder engagement, and community events.
Key responsibilities include:

  • Providing high-level executive and administrative support to the CEO and Mayor.
  • Managing complex diaries, appointments, and meeting schedules.
  • Monitoring and coordinating correspondence, ensuring timely responses and follow-up actions.
  • Preparing agendas, reports, briefing papers, minutes, and meeting documentation.
  • Coordinating Council and Committee meetings in accordance with legislative requirements.
  • Attending Council meetings and taking accurate minutes.
  • Monitoring Council resolutions and coordinating actions within required timeframes.
  • Assisting with research, special projects, and operational initiatives.
  • Coordinating official functions, citizenship ceremonies, and community events.
  • Maintaining accurate records and documentation within Council systems.
  • Building positive relationships with internal and external stakeholders while representing the organisation in a professional manner.

About YouTo be successful in this role, you will have:

  • Previous experience in an Executive Assistant, Personal Assistant, Governance, or senior administration role.
  • Exceptional organisational and time management skills, with the ability to manage competing priorities.
  • Strong written communication skills and experience preparing professional correspondence, reports, agendas, and minutes.
  • Experience supporting senior executives or leadership teams.
  • A high level of discretion and professionalism when handling confidential information.
  • Strong attention to detail and the ability to work autonomously.
  • Well-developed stakeholder engagement and relationship management skills.
  • Proficiency with Microsoft Office and electronic document management systems.
