We're looking for a highly organised professional with a client onboarding background, ideally from an accounting firm or a similar corporate environment with structured onboarding processes, such as commercial property services, engineering or another professional services setting.

The Opportunity 

Our client is a specialist accounting practice that supports real estate business owners to better understand their financial position and build stronger, more profitable businesses. As a registered BAS agent, they provide specialist accounting, trust accounting and software solutions tailored to real estate agencies.

The Practice Administrator role sits at the heart of the practice's day-to-day operations, working closely with the General Manager and providing administrative support across the practice, its clients and its team.

Your responsibilities will include:

  • Managing client engagements and onboarding end to end, including service agreements, ATO authorities and DocuSign
  • Coordinating client and team access across different systems
  • Overseeing practice billing and debtor reconciliation in Xero, including subscription management and monthly billing reporting
  • Maintaining Karbon and Monday.com, and liaising with Finance and IT on systems and access
  • Handling client enquiries and engagement surveys, and managing staff onboarding and offboarding
  • Supporting KPI and OKR programs, travel bookings and broader administrative support to the General Manager

About You

You bring a background in client onboarding from an accounting firm, or a similar corporate environment with a formal onboarding process, such as commercial property services, engineering, or another professional services business. Accounting firm experience is great but not essential; what matters most is that you've worked somewhere with structured client engagement processes and understand what it takes to bring a new client on board smoothly.

You'll ideally bring:

  • Around 3+ years' experience in a professional services or corporate environment, with genuine exposure to client onboarding
  • Confidence working autonomously and taking ownership without needing to be hand-held
  • Strong organisational skills and excellent attention to detail
  • Experience with systems such as Karbon, Xero, Monday.com or similar, or a track record of picking up new systems quickly
  • A naturally inquisitive, process-improvement mindset, someone who looks at how things are done and asks "is there a better way?"
  • Confidence liaising directly with clients and multiple internal stakeholders
  • A proactive approach, bringing ideas rather than waiting to be told what to do
