About the Roles:
A high‑profile Federal Government program is seeking Contract & Vendor Support Officers to effectively establish and manage key contracts and vendor relationships, ensuring compliance and contractual obligations are met, and to drive cost savings and process improvements.
Contract & Vendor Support Officers
As a Contract & Vendor Support Officer, your primary responsibility will be to provide administrative and operational support to the Contract & Vendor Manager in their day-to-day activities. The Contract & Vendor Support Officer plays a crucial role in assisting the Contract & Vendor Manager in overseeing the organisation's procurement and vendor management functions. Key responsibilities include supporting contract negotiations and execution, managing timekeeping and invoicing, conducting research and analysis, coordinating with legal for contract-related legal procedures, and assisting with performance monitoring and reporting.
The ideal candidate will possess strong knowledge of procurement best practices, excellent organisational and time management skills, proficiency in Microsoft Office Suite, and a proven ability to work independently and as part of a team.
Key responsibilities and tasks:
- Assisting with contract negotiations and execution by drafting and reviewing contract documents, preparing proposals, and facilitating discussions between internal stakeholders and external vendors.
- Drafting Section 23 approvals for spending proposals ensuring compliance with organisational policies and regulatory requirements when approving expenditure proposals involving external vendors or suppliers.
- Supporting contract management and administration including updating contract records, tracking key dates and milestones, and ensuring compliance with organisational policies and regulatory requirements.
- Maintaining accurate records of contractor and vendor timekeeping, processing invoices, and ensuring prompt payment according to agreed-upon terms.
- Gathering market intelligence, conducting benchmarking studies, and analysing vendor performance data to inform procurement strategies and decision-making.
- Assisting the Contract & Vendor Manager in liaising with in-house counsel or external legal experts to address any legal concerns or disputes arising from contractual agreements.
- Collecting and analysing vendor performance data, generating reports, and presenting findings to the manager and other relevant stakeholders.
- Updating the supplier register, including contact information, service offerings, and performance history.
- Assisting with progress reporting including compiling and distributing regular updates on contract status, milestones, and deliverables to internal stakeholders and external vendors.
- Establish and maintain strong working relationships with internal and external stakeholders.
Skills and capability:
- Degree or qualification in Business Administration, Supply Chain Management, or a related field
- Minimum of 2 years of experience in contract management, procurement, or vendor relationship management support
- Strong knowledge of procurement best practices, regulatory requirements (e.g., Section 23), and contract law
- Excellent organisational and time management skills, with the ability to prioritise competing demands and meet deadlines
- Proficiency in Microsoft Office Suite, particularly Excel and Word
- Experience using contract management software or other relevant tools
- Demonstrated ability to work independently and as part of a team, with excellent communication and interpersonal skills
- Strong attention to detail and commitment to accuracy and compliance in all aspects of contract management support
- Proven ability to conduct research and analyse data to inform decision-making
- Willingness to continuously learn and stay up-to-date with industry trends and advancements in procurement and contract management support.
- Stakeholder management skills, including the ability to build and maintain effective relationships with internal stakeholders and external vendors
- Interpersonal skills, such as active listening, empathy, and conflict resolution, to facilitate smooth collaboration and communication among team members and stakeholders.
