We are a well-established real estate agency based in Yarram, Victoria, providing residential property sales, property management and related real estate services to the local community. We are seeking an experienced and organised Office Manager to oversee the day-to-day administration and operational activities of our office.

The Office Manager will be responsible for coordinating office operations, supporting staff and ensuring administrative processes are completed efficiently and accurately. The successful applicant will play an important role in maintaining smooth business operations and providing administrative support across the agency.

Task & responsibilities

Key Duties and Responsibilities

  • Oversee and coordinate the day-to-day administrative and operational activities of the real estate office. 
  • Develop, implement and maintain office procedures to ensure efficient and consistent business operations. 
  • Coordinate the allocation of administrative tasks among office staff and monitor completion of assigned work. 
  • Supervise and support administrative personnel, including providing guidance on office processes and work priorities. 
  • Maintain and review office systems, records, databases and documentation to ensure information is accurate and readily accessible. 
  • Coordinate the preparation of business correspondence, reports, documents and other administrative materials for management. 
  • Monitor office expenditure, invoices, accounts and routine financial administration, and assist management with budget monitoring. 
  • Organise office resources, equipment, stationery and external services to ensure the agency has the facilities required for effective operation. 
  • Coordinate administrative processes associated with property sales, property management and other real estate activities. 
  • Liaise with property owners, tenants, buyers, sellers, contractors, suppliers and other stakeholders on administrative and operational matters. 
  • Monitor important administrative deadlines, compliance requirements and documentation relevant to the agency's operations. 
  • Maintain confidential client, property, financial and business information in accordance with company policies and procedures. 
  • Review existing administrative practices, identify inefficiencies and introduce improvements to office workflows and systems. 
  • Assist the business owners and senior management with operational planning, staff coordination and general business administration. 
  • Monitor the overall workflow of the office and resolve routine administrative issues to maintain efficient service delivery. 
  • Assist with staff induction, workplace procedures and ongoing administration to ensure employees understand and follow established office processes. 
  • Prepare regular administrative and operational updates for management to assist with business planning and decision-making. 
  • Ensure the office presents a professional, organised and customer-focused environment consistent with the agency's standards. 

 


Qualification & experience

Previous experience in office administration, office management or a similar supervisory role.

Strong organisational and time-management skills.

Excellent written and verbal communication skills.

Ability to manage multiple priorities and meet deadlines.

Strong attention to detail and accuracy.

Proficiency with Microsoft Office and common business administration systems.

Ability to work independently while also coordinating effectively with the wider team.

Previous experience within real estate or property services will be highly regarded.

Diploma level qualifications in Management.
