As our organisation grows, we are seeking an experienced Office Manager to take ownership of the administrative systems, resources and workflows that support reliable service delivery. This is a hands-on mid-level management position for a capable professional who can bring structure to a busy office, coordinate people and priorities, maintain accurate records and help management turn operational requirements into consistent practice.
About the RoleReporting to senior management, the Office Manager will organise and control the office's administrative functions and resources. The position will coordinate administrative staff, office systems, records, facilities, operational communications and business-support processes. The successful applicant will work independently within delegated authority, identify operational issues early and implement practical improvements that strengthen efficiency, accountability and compliance.
Key Responsibilities• Office operations and systems: Plan, organise and oversee daily office operations, administrative services, workflows, facilities, equipment and supplies.
• Administrative leadership: Allocate work to administrative employees, establish priorities, monitor completion and provide guidance to maintain consistent service standards.
• Policies and procedures: Develop, implement and review office procedures, document-control arrangements, templates, registers and reporting processes.
• Resource coordination: Coordinate office space, technology, records, staff resources and other operational requirements so teams can deliver services efficiently.
• Records management: Maintain accurate and secure corporate, workforce and participant-related records in accordance with privacy, contractual and organisational requirements.
• Compliance support: Maintain compliance calendars and registers, coordinate evidence for audits and reviews, and monitor completion of allocated administrative actions.
• Workforce administration: Coordinate recruitment administration, onboarding, induction records, training registers, employee files and routine performance documentation.
• Financial administration: Oversee routine invoicing, purchasing, accounts administration, reconciliations and payroll inputs, and provide accurate information for expenditure monitoring.
• Operational liaison: Coordinate communication between management, administrative personnel, service-delivery teams, participants, families and external stakeholders.
• Issue resolution: Investigate administrative and operational problems, recommend solutions and follow agreed actions through to completion.
• Reporting and improvement: Prepare operational reports, monitor administrative performance and recommend improvements that reduce delays, duplication and business risk.
• Work health and safety: Support workplace safety processes, office risk controls and compliance with applicable laws, policies and procedures.
Essential Qualifications and Experience• A minimum of three years' relevant experience in office management or business administration, with responsibility for coordinating office systems and operational workflows.
• A Diploma, Advanced Diploma, Associate Degree or higher qualification in business administration, management, office administration or a related discipline, or substantial relevant experience demonstrating an equivalent level of capability.
• Demonstrated ability to organise office resources, manage competing priorities and deliver work accurately within deadlines.
• Experience coordinating or supervising administrative employees and monitoring the quality and completion of their work.
• Strong written and verbal communication skills, sound professional judgement and the confidence to work with internal and external stakeholders.
• Demonstrated competence in Microsoft Word, Excel, Outlook and Teams, together with the ability to learn business, rostering, records or client-management systems.
• Experience maintaining confidential records, registers, reports and document-control systems.
• Strong problem-solving skills and a practical approach to improving administrative processes.
Desirable Experience• Experience in disability services, aged care, healthcare or community services.
• Knowledge of the NDIS Practice Standards, quality and safeguarding obligations, privacy requirements or comparable regulated-service frameworks.
• Experience with rostering, workforce coordination, payroll inputs, invoicing, accounts administration or audit preparation.
• Experience supporting a growing organisation or coordinating operations across more than one service location.
