About the Role
Reporting to the General Manager: Hire , the Contracts Administrator will be responsible for the effective administration, review and coordination of Brooks Hire's contracts, agreements, work orders and related commercial documentation.
You will work closely with Operations, Finance, HSEQ, Procurement, Sales and other areas of the business to ensure contractual obligations are understood, managed and delivered effectively.
This is a hands-on role suited to someone who can manage competing priorities, identify potential issues and confidently communicate with internal teams, customers, suppliers and contractors.
Key Responsibilities
- Develop, review and administer contracts, agreements, purchase orders, work orders and variations relating to equipment hire, suppliers, contractors and service providers.
- Review and negotiate contract variations, service agreements and commercial terms to ensure they align with Brooks Hire's operational and business requirements.
- Respond to contract-related enquiries and work with internal departments, customers, suppliers and contractors to resolve issues and ensure contractual obligations are met.
- Maintain accurate and up-to-date contract records, registers, documentation and associated paperwork.
- Work collaboratively with Operations, Finance, Sales, HSEQ, Procurement and other departments to ensure contractual requirements, deadlines and business objectives are achieved.
- Monitor contract performance and provide advice to senior management on matters requiring attention, contractual risks, variations and potential areas of concern.
- Coordinate and oversee contractors and service providers engaged by Brooks Hire, including monitoring work completed and reporting on variations to agreed work orders.
- Prepare, review and maintain reports, submissions, contract summaries and other documentation relating to Brooks Hire's commercial and operational activities.
- Collect and analyse contract and project-related data, including costs, variations, performance and outcomes, and report on project or contract outcomes.
- Identify opportunities to improve contract administration processes, documentation and commercial outcomes across the business.
- Ensure contracts and associated documentation are managed in accordance with Brooks Hire policies, procedures and relevant legislative requirements.
- Provide contract and commercial administration support to senior management and operational teams as required.
About You
We are looking for someone who is organised, commercially minded and enjoys working in a fast-paced operational environment.
You will ideally have:
- Previous experience in a contracts administration, commercial administration or similar role.
- Strong understanding of contract administration, documentation and variation processes.
- Excellent attention to detail and the ability to manage a high volume of documentation.
- Strong written and verbal communication skills.
- The ability to build effective working relationships with internal teams, customers, suppliers and contractors.
- Strong organisational and time management skills, with the ability to prioritise competing deadlines.
- Sound analytical and problem-solving skills.
- Confidence communicating with stakeholders at all levels, including senior management.
- Strong Microsoft Office skills and the ability to learn and utilise business systems.
- A practical and proactive approach to identifying and resolving issues.
Experience within the equipment hire, construction, mining, transport, engineering or other industrial environment will be highly regarded.
