Placed.au is looking for a full-time Office Manager for our client in Moorabbin, Victoria. The successful candidate will be responsible for overseeing day-to-day office operations, coordinating administrative and support functions, supporting management, and ensuring efficient workflows across the business. The role requires a highly organised professional with strong communication, problem-solving, and administrative skills who can effectively manage multiple priorities in a fast-paced e-commerce and product distribution environment.
Job Description:
-Manage and oversee the day-to-day operations of the office, ensuring efficient workflows across administration, customer service, warehousing, fulfilment, and management functions.
-Develop, implement, and continuously improve administrative systems, procedures, and processes that support e-commerce and product distribution operations.
-Coordinate office resources, equipment, supplies, and business systems to ensure staff are appropriately supported and daily operations run efficiently.
-Maintain accurate administrative records, document control systems, and clear internal communication processes across the business.
-Allocate and oversee tasks for administrative and support staff, monitor work quality, and ensure company procedures and service standards are consistently met.
-Support senior management with recruitment coordination, employee onboarding, payroll administration, leave records, and communication of workplace policies.
-Coordinate internal schedules, management meetings, staff activities, deliveries, and operational priorities.
-Provide administrative support for online sales, customer enquiries, order processing, returns, promotions, and other business initiatives.
-Liaise with management, warehouse and fulfilment staff, suppliers, freight providers, contractors, and other service providers to support timely order fulfilment and resolve operational issues.
-Coordinate procurement of office and operational supplies, assist with inventory records, and support timely stock replenishment.
-Oversee administrative financial processes including supplier invoices, purchase orders, customer refunds, and office and operational expenses.
-Assist in preparing administrative and operational reports to support management decision-making, stock planning, and business performance monitoring.
-Provide executive support to the Co-Founders, including diary management, meeting coordination, travel arrangements, and confidential administrative assistance.
-Assist with business correspondence, supplier communications, reports, and other documents required for internal and external stakeholders.
Qualifications/Attributes:
-Must hold a Relevant Diploma in Business Administration, Office Management, or a related field.
-Must have at least 3 years of relevant work experience.
-Strong organisational and time-management skills, with the ability to manage multiple priorities in a fast-paced e-commerce and distribution environment.
-Excellent written and verbal communication skills.
-Proficiency in office software and business systems, including Microsoft Office, e-commerce platforms, customer relationship management systems, inventory systems, or accounting software.
-High attention to detail, accuracy, and problem-solving ability.
-Ability to coordinate effectively with staff, customers, suppliers, and service providers.
-Experience in e-commerce, retail, warehousing, logistics, or product distribution is highly regarded.
-Strong work ethic and commitment to maintaining high operational and customer service standards.
Salary Range:
$75,000 – $85,000 p.a. excluding superannuation.
