CONTRACT ADMINISTRATOR Full Time | Permanent | Pinkenba, Brisbane QLD $82,000 per annum plus superannuation About Us Vision International Logistics is an independent, Australian owned freight forwarding and logistics provider. Operating from our principal facility at Pinkenba in Brisbane, with additional operations in Sydney and on the Sunshine Coast, we handle international sea and air freight, domestic freight, customs brokerage, project cargo and temperature controlled forwarding for clients across agriculture, food and beverage, pharmaceuticals, building materials and consumer goods. We turn over in excess of $74 million annually and work with a network of carriers, transport providers, suppliers and overseas agents across every major trade lane serving Australia. The Role As the business has grown, so has the volume of commercial agreements behind it- and responsibility for them has become spread across several functions. We require a dedicated Contract Administrator role to bring that work under single ownership. You will administer the agreements the business holds with its transport providers, clients, suppliers and systems vendors. You will prepare and review those agreements, negotiate their terms and variations, hold counterparties to what they committed to, and keep the documentation behind them complete and current. Execution authority stays with the CFO, Managing Director and Finance Manager under our delegations. Your role is to prepare, negotiate, administer and monitor- so that agreements are properly scrutinised before signing, and honoured afterwards. Key Responsibilities • Prepare, review and negotiate service agreements with domestic transport and delivery providers, including rates, service levels and commercial terms • Prepare and review client service agreements and standard trading terms, and coordinate their issue, variation and renewal • Review and negotiate credit terms with suppliers and creditors, and seek revised terms as trading volumes change • Review and negotiate software, systems and equipment hire agreements • Negotiate variations where counterparties seek to change rates, terms or service commitments • Prepare agreements and supporting commercial analysis for execution by the CFO, Managing Director or Finance Manager under company delegations • Interpret contractual terms, delivery terms and Incoterms, and advise internal stakeholders and clients on the allocation of cost, risk and responsibility • Respond to client and supplier enquiries and resolve disputes concerning charges, service levels and entitlements under agreed terms • Maintain a complete and current record of the organisation's commercial agreements, and track expiry, renewal and review dates so renegotiations begin ahead of time • Verify and monitor the currency and validity of letters of authority and other instruments authorising the business to act on a client's behalf • Monitor counterparty performance against agreed service commitments and contractual obligations, investigate service failures, and coordinate resolution and commercial adjustment • Verify supplier invoicing against agreed rates and contracted terms, identify discrepancies, and administer the recovery of overcharges and credits • Ensure commercial arrangements and their performance comply with company policies, delegations and applicable Australian regulatory requirements Skills and Experience • Diploma, Advanced Diploma, Associate Degree or higher or at least three years of relevant experience may substitute for the formal qualifications • Demonstrated experience in contract administration, commercial administration or supplier agreement management, preferably in freight forwarding, logistics or transport • Proven ability to prepare, review and interpret commercial agreements and negotiate terms and variations • Working knowledge of Incoterms and standard trading conditions applying in freight forwarding • Experience monitoring counterparty performance against contracted obligations and resolving performance and billing disputes • Strong commercial and numerical judgement, including the ability to identify invoicing discrepancies against agreed terms • High level written and verbal communication skills, including with overseas suppliers and carriers • Ability to manage a portfolio of agreements and competing priorities without close supervision • Proficiency with document management systems and the Microsoft Office suite • Current and unrestricted rights to work in Australia on a full time, ongoing basis Desirable: experience with CargoWise or comparable freight management systems.
